Overview

Vital’s demo environment plays a critical role across the organization. Marketing relies on it to showcase product capabilities. Sales uses it for training and customer demos. Support depends on it for providing accurate documentation. And internal teams use it to ensure consistent communication around new features and workflows.

Maintaining a library of always up-to-date screenshots of their product demo environment proved challenging. Even subtle UI updates in healthcare software can have meaningful downstream impact, where accuracy directly shapes trust and clarity for patients navigating their care journey. Vital needed a structured, automated approach that could consistently generate many hundreds of accurate and fully up-to-date screenshots — and ensure those screenshots flowed seamlessly into marketing materials, shared drives, and internal resources without ongoing manual work.

Challenge

With a rapidly evolving product, each week brought new UI improvements, updated patient-facing workflows, and expanded clinical features. This velocity is essential to delivering a better care experience — but it also made maintaining a reliable, up-to-date library of product screenshots increasingly difficult.

Screenshots were scattered across folders, went stale surprisingly fast, and required manual recapture every time something changed in the UI. Without a single source of truth, sales decks, marketing visuals, documentation, and internal training assets all drifted out of sync. Often without anyone noticing until the moment those assets were urgently needed.

“We were desperate to stay ahead of product changes, not constantly react to them,” explained Vital Head of Product Design, Biran He. “The product was evolving so quickly that manually capturing screenshots just wasn’t realistic anymore — we were drowning. We needed a systemized, scalable approach that could keep pace with our product.”

The challenge extended beyond simply generating fresh screenshots. Vital needed a reliable way to ensure those screenshots were consistently organized, accurate, and readily accessible to every team that depended on them. The entire screenshot lifecycle — capturing, organizing and distributing visuals — had to operate at the same speed as their rapidly evolving product.

It was increasingly clear they needed to move from unsustainable manual work to a structured, automation-driven system.

Solution

Each of these automatically captured screenshots has a customizable file path and a stable, permanent filename. Every time a fresh screenshot is generated, the platform automatically overwrites the image at this same location — ensuring its URL remains unchanged even as the underlying asset is updated. This means that wherever Vital embeds a screenshot URL — whether in product guides, across marketing materials, or internal training resources — the image will always display the most current version.

To make these updated screenshots even more accessible to non-technical teams, LaunchBrightly configured a recurring export of all fresh images into a shared Google Drive folder. Each export preserves Vital’s folder hierarchy, continuously overwrites previous versions under the same filenames, and runs automatically on a set schedule. Creating a single, central source of truth — and giving sales, marketing and other teams across the business instant access to an always-current library of visuals.
